Terms and conditions 


1. Cancellation refund policy: 

In the event of cancellation, the following cancellation fees will apply:
More than 20 weeks prior to show- no refund of deposit
Between 20 weeks and 12 weeks prior to the show – no refund of deposit & 50% of remaining balance due on scheduled performance date. Less than 12 weeks prior to show- no refund of deposit & full remaining balance due on scheduled performance date. 

2. Venue: 

You the ‘client’ are responsible for ensuring that the venue is licensed and suitable to accommodate a Magic Photo Mirror during the times stated above. If we are unable to perform/operate due to these checks not being executed, the full balance will be due on the due date with no refunds. Electrical faults within the venue are the responsibility of the venue and not ‘the provider’. ‘The provider’ will not accept responsibility for the complications caused by the presence of decibel limiters disrupting electrical supply.

3. ‘The provider’ equipment 

It is agreed by the ‘client’ and the ‘hire provider’ that the equipment supplied by the ‘hire provider’ is not available for operational use by other persons in absence of the official operator provided by ‘the hire supplier’ except by specific permission given by the ‘hire provider’. Damage to the ‘hire provider’ provided equipment by the ‘client’ or guests of the ‘client’ will incur liability on the ‘client’s behalf. 

4. Rider 

This contract may be subject to a ‘rider’ containing the ‘hire provider’ requirements for water, accommodation, dressing rooms, technical specifications etc (please see full ‘artist rider’ on the front of this contract)
The ‘rider’ forms an integral part of this contract and MUST be provided by the ‘client’ at their own expense. 

5. Additional extras/ fees 

If the event schedule is changed on the day and the ‘hire provider’ is required and agrees to perform/provide for longer than the ‘Hire period times’ agreed in this contract, and no additional surcharge is agreed by the ‘hire provider’ on the day of the event, the following standard ‘Extended performance/hire period fees’ will be charged:
(a) £99.00 per additional hour required, for finish times prior to midnight on date above of event, payable by the ‘client’ to the ‘booth operator’ in cash or by cheque on the day of the event. The ‘booth operator’ has the right to refuse to extend their performance times without penalty.

(b) £149.00 per additional hour required, for finish times after midnight on the date above of event, payable by the ‘client’ to the ‘booth operator’ in cash or by cheque on the day of the event. The ‘booth operator’ has the right to refuse to extend their performance times without penalty.

6. Delayed event schedules and late finish fees 

If due to the late running of or alterations to the event schedule which is no fault of the ‘hire provider’, the ‘hire provider’ is not able to perform their full performance time within the schedule outlined in this contract, there will be no reduction in the ‘hire provider’ fee.

The ‘artist’ has the right to refuse to finish later than the contracted finish time without penalty. 

7. Late payment of the balance 

Failure by the ‘client’ to pay the ‘hire provider’ within the terms specified will result in a late payment fee (equal to 10% of the total balance due) being added to the outstanding balance. This will be payable by the ‘client’ to the ‘hire provider’, for every 5 working days the payment is late. 

8. Cancellation by the ‘artist’: 

Cancellation by the ‘hire provider’ is not allowed for any reason except circumstances covered by ‘force majeure’ (see clause 11.) 

9. Force Majeure 

In cases of ‘Force Majeure’ (which shall be known as war, fire, death, illness or other capacity certified by a properly qualified medical practitioner, epidemic, accident, civil commotion, national calamity, order of Government or Local Authority having jurisdiction in the matter, changes in law, foreign government policy, act of God), which are not attributable to any act or failure to take preventive action by the ‘hire provider’ or ‘client’, then the ‘hire provider’ or ‘client’ may cancel this booking without penalty other than loss of deposit. 

10. Technical errors of equipment 

(i) In the extremely rare event of a technical fault causing an interruption to the service, the number of minutes taken to correct the issue will be added to the end of the hire period finish time. This operator reserves the right to assess any delays and add the minutes to the hire period at the operators discretion. ‘Client’ intervention in this matter will not be permitted.

(ii) In the extremely rare event of a technical fault preventing the ‘hire provider’ from supplying the ‘client’ the full hire period, the total fee will be divided by the minutes of total hire period, and the number of minutes that were not provided will be refunded.

11. Wi-Fi sharing Option 

In the event of any circumstances preventing the sharing option from functioning, the fee (if any) agreed and listed above for that option solely will be removed from the balance due to ‘the hire provider’ from ‘the client’. No further discounts will be applied to the outstanding balance in such circumstances. No fee reductions will be applied to packages(superstar package/premium package/short and sweet package) in the event of Wi-Fi sharing options being unavailable for any reason.

12. Indemnity & image usage

‘the client’ understands and agrees to:

(i)             ‘The Versions Entertainment t/a SuperStar Photo Booths’ takes no responsibility for the usage of photographs (taken by the booth/magic photo mirror) during the hire period & beyond the hire period, by any person who may obtain them. The ‘client’ accepts that guests are giving consent to the photographs permissions when they agree to take part in the process of using the booth/magic photo mirror.  ‘The hire provider’ accepts no responsibility or liability for the journey/path/usage/copyrights of the photographs taken during the hire session (including additional time agreed by the client).

(ii)            ‘The hire provider’ accepts no responsibility/liability for images taken by the booth/magic photo mirror during the hire period (including additional time agreed by ‘the client’) being uploaded to sharing platforms or any other form of distribution, both digitally & in hard-copy prints.
